Publishing your schedule

Once your schedule is ready, publishing it makes it visible to volunteers so they can start signing up for shifts. This guide walks you through the steps to review your settings. 

Before You Publish

Take a quick moment to double-check that your schedule is ready. Then,

Click Publish schedule.

This will take you to your schedule settings. 

Making changes to your settings

If at any time after the schedule is published you need to adjust your settings: 

  1. Click the Opportunity

  2. Go to Edit 

  3. Choose Page design or Preferences

  4. Make your change

  5. Click Save

Step 1: Design Your Page

This is where you decide how your schedule will appear to volunteers.
You can customize:

  • Title and Description: Add a short, clear title and a friendly description that tells volunteers what this schedule is for.

  • Theme: Choose a theme to match your event, or create your own custom theme

  • Layout Options: Select whether to show the schedule organized by date or by job.

When you’re happy with your design, click Continue.

Step 2: Set Your Preferences

These settings control who can view and manage your schedule, how volunteers interact with it, and what notifications are sent.

Changes

Decide what happens when a volunteer cannot make their assigned position: 

  • Cancel their assignment, leaving an empty position on the schedule
  • Request a sub, which will send an email to all other volunteers in the opportunity
You can also choose to only allow this up to a certain number of days in advance of the assignment, after which point the volunteer will not be able to make changes to that assignment.

Notifications

Set whether volunteers receive:

  • Email confirmation when they sign up

  • Email reminder a set number of days (max 14)  in advance of their assignment

  • Text message reminder a set number of hours (max 72) in advance of their assignment (available in the Team and Pro editions)

You can also customize these messages in the Premium, Team, and Pro editions using the "View template" button to the right of each. 

Ask Volunteers

By default, all signups require the volunteer name and email. 

  • You can optionally also gather cell and allow comments. 

  • In the Premium and Team Editions, you can also choose to add custom signup questions, like T-shirt size, food preferences, or special skills.

In this section, you can also choose to hide volunteer names and comments from other volunteers.

Administrators

Select who else can manage this schedule with you, and whether those admins should be CC'd on notifications and emails related to this schedule. 

When you’re finished adjusting preferences, click Continue.

Step 3: Publish Your Schedule

Finally, click Publish

Your schedule is now live! Volunteers can view it immediately and start signing up.
