Using Logs

Overview

Logs allow you to track the number of hours your volunteers have worked. When a volunteer is scheduled for a shift, a log is automatically added once the date and start time of that shift have passed. These logs can be edited by administrators to reflect the actual time served or specify that a volunteer was a no show. Logs can also be manually added by administrators if, for example, someone fills in for a shift at the last minute.

How It Works

Creating a log

  1. Click on the Logs pane on the left-hand side of the screen.
  2. Click the "+ New log" button in the upper right to create a new log:

  3. Select a Volunteer name, Opportunity, and Date for the log, and document the number of Hours and Minutes served. You can also optionally specify a Shift start time and Job, use the "Did not show up" option to specify that a volunteer was a no show, or use "Time in logged" and "Time out logged" to specify the number of hours a volunteer worked:

  4. Click "OK" to create the new log.

Editing a log

  1. Click on the log you want to edit, then click the "Edit" button in the lower right:

  2. In the "Edit log" dialog, you can adjust any of the listed fields -- for example, you can select "Did not show up" to specify that a given volunteer was a no show, or edit the Hours and Minutes served if the volunteer left early or stayed late.

Filtering logs

Using the "Filter" button in the upper right of the Logs pane, you can filter the list of logs by Volunteer, Opportunity, Group, or Date, as well as choose to filter for no shows only:

When a filter is in use, the total number of hours served that apply to the active filter is shown below the list of logs. For example, if you are filtering by volunteer, the total number of hours for which they have volunteered will appear below the list of logs.

To clear the active filter, click "Clear filters":

Exporting logs

You can use the "Export" button in the upper right of the Logs pane to export a list of your logs. If no filter is applied when you click the "Export" button, all logs on record will be exported; otherwise, only the logs matching the applied filter will be exported.

Tips and Troubleshooting

Permissions: The Logs pane will only appear if your administrator account has the "Can manage Logs" permission enabled.
